Privacy policy
Effective November 2, 2026.
This policy explains what PoolPostcard (“we”, “us”) collects, why, and what you can ask us to do with it. Questions or requests: privacy@poolpostcard.com.
Businesses that use PoolPostcard
When you reserve a mailing, we collect:
- what prints on your card: company name, phone number, offer, and any logo or photo you add;
- your email, for proofs, counts, receipts and service messages;
- your zip and monthly cap;
- payment details, which go straight to Stripe. We keep only the card brand and last four digits, never the full card number;
- your skip list: customer addresses only. We use it only to leave those homes off your mailing, never to mail them or share them, and we delete it within 30 days after you cancel.
Monthly count emails and the waitlist
If you ask for the monthly count for a zip, or join the waitlist for a county we don’t cover yet, we keep your email and the zip. Count emails start only after you confirm your address, and every one has a one-click unsubscribe.
Homeowners
We pick homes from public county property records: the property address, the recorded owner, the sale date, and whether the home has a pool. We use them only to address postcards and to count homes per zip. Public pages show counts only, never an address, and counts under 5 show as “fewer than 5”. We don’t sell or rent this data.
Every card prints a way to stop mail. When you use it, your address goes on a list that every PoolPostcard sender is kept off. You can also email privacy@poolpostcard.com with your address.
[legal placeholder: quote requests from a card’s page: what is stored (name, phone, optional email, best time to call, a hash of the IP address, the browser’s user agent) and that it is sent to the company named on the card; wording pending counsel]
[legal placeholder: how long quote requests are kept: until the company’s account is deleted or 24 months, whichever is first; wording pending counsel]
Analytics and cookies
- Vercel Web Analytics and Speed Insights count page views and page speed without cookies.
- PostHog records which steps of sign-up are used, so we can see where people stop. It uses a cookie. It never records what you type into form fields, and we don’t send it your email or phone number.
- Google Analytics measures visits and where they come from. It sets cookies.
You can block or clear these cookies in your browser. The site still works without them.
Who processes data for us
We share data only with the services that run PoolPostcard, and only what each needs:
- Stripe: payments;
- Resend: sending and receiving email;
- Vercel and Neon: hosting and our database;
- PostHog and Google Analytics: site analytics;
- our print-and-mail provider: your card and the addresses it mails to, once mailings start.
We don’t sell personal information, and we don’t share it for advertising.
How long we keep it
Account and billing records are kept while you use PoolPostcard and afterwards as long as tax and accounting rules require. Skip lists are deleted within 30 days after you cancel. Count-email and waitlist addresses are deleted when you unsubscribe or ask us.
Your choices
You can ask to see, correct, or delete what we hold about you by emailing privacy@poolpostcard.com. We answer within 30 days. Records we must keep by law, such as payment records, are kept for that purpose only.
Security
Data is encrypted in transit, and access to it is limited to the people who run the service.
Changes
If we change this policy in a way that affects you, we update the date above and email customers before the change applies.
PoolPostcard is for businesses and is not meant for children under 13.
